Department Profile: Kaleida Health Human Resources

Healthcare HR Week – the third week of March – is designated to recognize human resources professionals in healthcare organizations for their important role across the continuum of care.

Ninety-three people handle the HR needs for a staff of 10,000

There are a number of departments that fall under the heading of human resource at Kaleida Health, including: Site HR Operations and Labor Relations, Talent Acquisition, Total Rewards (Benefits and Compensation), Payroll & HRIS, Learning and Performance, Employee Health and Safety and Integrated Absence.

We invest in and engage with our teams to lead with care. People are our most valuable resource.”

Here’s a brief overview of what our HR departments do:

Site HR Operations & Labor Relations 

  • Assures the collective bargaining agreements and HR policies and procedures are interpreted, understood and implemented correctly
  • Oversees 20 labor management committees with employee involvement which uphold Kaleida’s mission and vision
  • Coaches leaders on how to lead their teams and helps individual employees find information and solve problems


Talent Acquisition

  • Helped onboard 1,600 new hires in 2022 (60% more than 2021)
  • Attended 75+ career fairs hosted by local schools and community organizations 
  • Currently have about 1,300 open positions to fill


Total Rewards (Benefits & Compensation)

  • Address 350 or more employee calls and emails per week
  • Process benefits for new hires, status changes and terminations, about 125 - 150 per week
  • Arrears billing and payment processing, 75-100 per week, 
  • Reconciling and funding five retirement plans every pay period
  • Reconciling and paying invoices for 15 benefit plan vendors weekly and monthly 
  • Ensuring employee data is relayed to all 15 benefit plan vendors, timely and accurately, each pay period


Payroll/HRIS

  • Process 10,032 paychecks per pay period 
  • Processed 12,349 W-2s annually in 2022
  • Process 100+ employee tax and address changes weekly when not completed in Lawson
  • Process three PTO buy-out processes annually, starting in 2023
  • Process up to 19 different types of bonus payments each pay period
  • Understand and implement complex collective bargaining agreement nuances into payroll/HRIS systems
  • Address 400+ employee and manager calls and emails weekly
  • Provide numerous reports to support business operations weekly 
  • Process 3,010 employee record changes in Lawson per pay period
  • Process average 1,000 per year employee record retroactive data corrections based on union contract changes
  • Manage 30 different union pay schedules in Lawson

Learning and Performance  

  • Successful management of 647 work requests submitted to the department, including, but not limited to, team building, content development, process documentation,\ and other training requests
  • Created/updated over 900 Talent Management online courses in collaboration with subject matter experts throughout the organization
  • Achieved a 4.8 out of 5 star overall satisfaction rating for instructor-led training courses provided to over 400 supervisors and above
  • Completed TeamSTEPPS facilitator certification in collaboration with UBMD faculty to train students and providers
  • Collaborated with Clinical Education to deliver Triumph Program for new nurse graduates, with a focus on TeamSTEPPS communication training
  • Developed and launched new facilitation skills training to assist managers with running meetings and delivering presentations
  • Began development of Kaleida Upskill, which will grow to a suite of focused 1-hour Webex training sessions to target specific leadership skills


Employee Health & Safety 

  • More than 31,000 employee visits in 2022
  • 2022-2023 yields the highest percentages in Influenza status compliance to date for Kaleida Health, with the introduction of targeted unknown flu reports to leaders throughout the system. Congrats to KH on a 95.8% compliance rate for the 2022-2023 flu season!
  • Completed 4,335 COVID-19 return-to-work encounters in 2022
  • Collaborate with site safety programs to education on sharps safety etiquette plus the development of screen savers throughout the system
  • Instituted Safe Patient Handling training for all agency staff coming through who have job duties related to patient care
  • New SPHM program instituted in long-term care as part of the CNA training program
  • Development of a Bariatric Closet at BGMC that allows for specialized SPH equipment to best meet the needs of the bariatric patient population
  • Continue to develop, educate and implement the Early Mobilization Pilot Program in the ICUs at BGMC and MFSH
  • Reduction in Workman’s Comp claims from 170 in 2021 to 153 claims in 2022


Integrated Absence 

  • Case-managed 4,659 claims system wide in the year 2022

There are 93 HR employees who make all of this possible.
